Migration of Tenant Billing to WellStat.io


WellStat provides a comprehensive suite of products designed to optimize building management, including Demand Response, Indoor Air Quality, Occupancy, and Tenant Billing. In this release, we focus on the migration of Tenant Billing to WellStat.io, with significant enhancements to the user interface (UI) and user experience (UX). This update enables building owners to seamlessly input energy data, generate detailed billing reports for tenants, and manage all related tasks efficiently in one unified platform.

Migration Goals

  • Seamless Migration: Transition Tenant Billing functionality from MACH Energy to WellStat.io.

  • UI/UX Enhancement: Improve the user experience, making configuration and management more intuitive and efficient.

  • Cost Reduction: Streamline operations by reducing external dependencies and infrastructure costs.

  • Unified Platform: Consolidate all energy and billing services under a single platform for simplicity and better service integration.

Key Features and Configuration Steps

  1. Configuring Tenant Billing
    To configure Tenant Billing, users must first select the building from their list of properties. If Tenant Billing is enabled for the building, users will have access to the Tenant Menu, where they can select the Configure Sub Menu.

    • Select Utility
      Users begin by selecting the appropriate utilities from a predefined list. A validation message prompts users to select at least one utility before continuing. After selecting a utility, a dropdown menu will appear for users to choose the unit of measurement. Once this selection is made, users can proceed by clicking the CONTINUE button.

    • Configure Fees
      If users choose not to charge tenants for bill preparation, they can select NO, bypassing the fee configuration. If fees are to be charged, users select YES and proceed to the Configure Fee Stepper where they can:

      • Set a single administration fee for all utilities, or

      • Define specific administration fees for each utility.

      • Choose from three available fee types, each with its own validation rules.

    • Configure Rates
      Users must configure rates for each selected utility, choosing from four available rate options. After finalizing the rates, users can click SAVE AND EXIT to complete the configuration. User inputs are automatically saved at each step to prevent data loss.

  2. Managing Tenant and Meter Information
    After configuring Tenant Billing, users can:

    • Add meters and tenants, linking them accordingly.

    • Allocate meter readings based on square footage, manual meters, or both.

    • Upload and download building logos and images.

    • Add, update, and remove notes.

    • Include specific line items for individual tenants.

    • Manage dynamic billing codes generated based on the selected utilities.

  3. Running Tenant Billing Reports
    Once Tenant Billing is configured, users can generate billing reports through the Run Report submenu, accessible under the Configure menu. The report generation process follows these steps:

    • Enter Bill Dates
      Users input the start and end dates for the billing period.

    • Enter Billed Amounts
      If the user selected to manually input dollar amounts and usage during rate configuration, this step will appear. Users will enter the amounts for each tenant.

    • Review Tenants
      Users review and modify tenant information before finalizing the report. Any changes will return the process to this step.

    • Enter Meter Readings
      This step appears if manual meters have been associated with any tenants.

    • Enter Line Items
      This step is visible if line items were configured earlier in the process.

    • Review and Complete
      The final step where users review the entire billing report and generate the bills for tenants. Reports can be downloaded either at the building or tenant level.
